The Guide Review Committee consists of three individuals who oversee the creation and maintenance of all RRC Guides. They ensure that duplication does not occur, that guides are updated regularly, and that the RRC Guide Collection stays relevant and manageable. More information about the Review Committee and what they do can be found on the Review page below.
1. Complete the Guide Proposal Form and email it to the Review Committee.
Using the questions on the form the Committee will verify that nobody is working on a similar guide topic AND ensure that the guide fits within the scope of the RRC Guides collection. Some of the information the Review Committee needs to know in order to determine if a guide should be created is:
[_] What is the Guide about? Include what your guide is about, what information is available on the topic, and what sorts of sub-topics you are going to include
[_] Are there any similar guides? Will there be cross-over and/or duplication of other guides? Could this content be better served within an existing guide?
[_] Who is the guide aimed at (audience)? (ex. a particular class, program, group of students, staff, general, etc.)
[_] will this guide support a specific class and/or program, or is this guide aimed at a broad audience (i.e., student success)
[_] Why do we need this guide (reason)? (ex. A gap in the RRC Guide collection, faculty request, other type of request, etc. )
[_] Does this guide need to be published ASAP (timeline)? (time sensitive, need for class or another purpose)
[_] Will this guide be published for a limited time (timeline)? (ex. Movember guide is only published for November)
[_] Who will be working on this guide? Are there any I&PD staff editors or other staff collaborators assisting with this guide?
[_] Is there a faculty sponsor for this guide?
[_] Is there enough content to support its own guide? What types of content will be included in this guide? (Ex. Books, Videos, etc.)
2. Once it has been confirmed that the guide is unique and within the scope, the Committee will:
NOTE: The Committee should be notified of any changes to the proposed guide so that the records can be kept up-to-date. (ex. Different collaborators; change in focus, etc.)
(a guide remains in an "unpublished" state until it gets approved and the GRC changes the status to "published")
The template notes are for internal staff use only and should be removed prior to publishing the guide. Notes can also be found in this training guide if you need to refer back to them after they have been deleted.
The Review Committee will check your guide against a predefined checklist to ensure that all aspects of the guide have been met. Use the detailed review guide below to double-check that you haven't missed anything.
Take another look over all your text. Look for spelling and grammatical errors that you might have missed.
Find a co-worker who can take a quick look over your guide with an objective eye. They may see something that you have missed.
A number of boxes (at least 1 per page) has instructions in the header to [SET AS FLOATING]. This means you need to edit the box (pencil in the box header) and check the "floating box".
NOTE: eff 2019/03/12 - we have been in contact with SpringShare to see why the template boxes are set to "floating" but when the template is copied this attribute is lost. they are aware of the problem but it's not a priority. We are working on a solution. In the meantime please ensure that all boxes with [SET AS FLOATING] in the header are modified so that they have the little floatation icon.
Take a look at your guide in Preview mode. Doing this will often reveal any "sinking" boxes (set as floating) and other formatting issues you may miss while looking at the edit side.
Double-check that all your hyperlinks work and open in a new window.
1. The Review Committee will review your guide as a group and will complete the following checklist: (note: a more detailed review rubric to be uploaded shortly)
[_] Is as described in the Guide Proposal Form
[_] The appropriate template being used
[_] The template has been used as intended
[_] No rogue boxes and/or widgets
[_] Used the appropriate content items as each box requires
[_] Applied appropriate metadata information (i.e., tags, title, description, friendly URLs)
[_] Content is robust enough to justify its own guide
[_] No duplication of content in other guides
[_] Spelling/grammar checked
[_] Links work
[_] Graphics meet guidelines for placement, size, quality, borders, padding, etc.
[_] Appropriate citation for image source is given in correct format, (title-author-source-license preferred)
[_] Alternate text has been applied
2. The Review Committee will approve for publishing (and change the status to "Published" or will suggest revisions before it can be published.
3. Should changes be requested, owners will be responsible for making the adjustments as required by the Review Committee and then notify the Committee that the guide is ready for review again. Revisions should be completed within two weeks of receiving feedback.
4. The committee will initiate promotions for this new guide as described in the promotions guide (LINK)
