Booking Rules

Appointment Booking Rules:

  1. Appointments may only be booked between 24 hours and 7 days in advance.
  2. Students may book up to three 30-minute appointments per week in each of the ASC Centres. Two of these weekly appointments may be booked with the same tutor.
  3. Students may cancel appointments without penalty up to 24 hr before the meeting.
  4. Appointment cancellations are not permitted less than 24 hours before the meeting.
  5. Appointments that are not attended will be logged as MISSED appointments.
  6. Students that have missed 3 appointments will be blocked from booking tutoring appointments until they have met with the Tutoring Supervisor to clarify attendance expectations.
  7. Webex is required for connecting with ASC Staff Tutors for all online appointments.
  8. Students must log in to RRC Tutor Trac shortly before the appointment time to access the link to the tutor’s online Webex meeting room. (The Webex Meeting link will be available 15 minutes before the meeting start time and until the end of the appointment).

Booking Your Appointment

How to Book a Help Desk Appointment:

  1. Go to https://success.rrc.ca and log in using your RRC/HUB username and password.
  2. Next, click the "Search Availabilities" link.
  3. In the Centre menu, select "ASC Help Desk".
  4. In the Section menu, select the subject you need help with.
  5. Click Search to see a list of available tutoring appointments.
  6. Click the appointment slot you wish to book, complete the form as instructed and save the appointment.
  7. You will immediately receive an appointment confirmation email in your RRC student email inbox along with instructions on how to connect with your tutor online for your appointment.

Meeting Your Tutor Online

How to Meet With Your Tutor Online:

On the day of your scheduled appointment, log in to success.rrc.ca about 10-15 minutes before your meeting time. In the Upcoming Appointments window, you should see your appointment listed along with an “Enter Webex Meeting” button. When it is time to start the tutoring session, click this button to open a new browser window and enter the tutor’s Webex room.

TIP: If you do not see the “Enter Webex Meeting” button, check to be sure you are logged in between 1 and 15 minutes before the appointment start time, and reload the page.


If the tutor is not yet available, or is in another WebEx meeting, you will see a message letting you know to wait. There is also an option to send a notification to the tutor letting him or her know that you have arrived and are waiting. If the tutor does not start the Webex meeting after the scheduled time, send them an email and copy tutoring@rrc.ca and either the tutor or an ASC staff person will assist.

Rescheduling or Cancelling Your Appointment

Canceling or rescheduling appointments with less than 24-hours notice is not permitted.

If you wish to reschedule an appointment, email the tutor at least 24 hours before the appointment to request a time change. If your tutor is not able to accommodate the change, email the ASC at tutoring@rrc.ca and an ASC staff person will assist you in possibly connecting with another tutor.

To cancel an appointment, log in to success.rrc.ca to view your list of upcoming appointments and click the X icon next to the appointment you would like to cancel. This will open an Appointment Cancellation window where you can enter a reason, then click Confirm Cancellation to cancel the appointment.

 

The meeting will then be removed from your Upcoming Appointment list and cancellation notices will be emailed to you and the tutor.
